Our first step is to determine your goals and objectives. This is accomplished through an in-depth analysis of your current survey and data collection practices, survey instruments and reports being generated from the existing processes. We interview management and staff to determine the information and reports that will be required upon project completion. We then work with you to identify and outline the survey objectives and define the size and source of the survey sample.
Our second step is to understand and analyze the question(s) that are proposed for the survey to confirm that they will address the goals of the project and obtain the desired results. We identify the individual data elements required and then move forward to create the survey instrument that can most effectively retrieve this information.
Our third step is questionnaire and form development. Surveys are designed with your research objectives in mind. Our surveys are personalized, easy-to-use and optimized for scanning and usability. They contain survey specific information, all of which eliminates the possibility of errors. All forms are pre-tested to confirm that the survey, instructions and procedures are set up appropriately.
After determining the goals and objectives, we create an expert system, which allows us to collect data and provide meaningful reports to deliver the information in the most efficient and effective manner.
Our fourth step is data collection. While the ideal, cost-effective method appears to be web-based and electronic, often times the logistics of the population to be surveyed does not lend itself to this type of process. Paper surveys are still one of the most effective and accurate methods of collecting data. The majority of our clients utilize paper surveys, in conjunction with some web-based surveys. Because our paper surveys are optimized for data retrieval, we are able to collect the raw data from the completed surveys in a most efficient manner. Whether you have collected the data via phone, in-person, through the distribution of paper-based forms, or via the Internet, your data gathering results are continuously monitored to ensure accuracy as it is captured into the database.
Our fifth step is to analyze the data. Once collected, we utilize our extensive statistical and analytical expertise to transform the data into clear, concise and actionable information.
Our sixth and final step is to report our results to you. This step is in many ways the most crucial and requires the most effort. Over the years, our on-going clients have come to rely on our reporting capabilities and the way we clearly summarize and explain the survey’s key findings. Often, reports will be distributed to all levels within an organization. The raw data must be sliced and diced, and then presented in a format most suited to the target reader(s). In each report, we will look at and aggregate the data focused on the needs of each of your audience(s). The other aspect of creating reports is the need for timely information. Our normal turnaround for reports is under five working days, although with advanced planning, we are able to produce reports within a tighter timeframe. Also, occasionally after review by an audience further refinement of the information is requested by the user(s). At Pivotal Data, usually we are able to make these modifications within one or two days.
Bottomline, when your project is completed, you will have in your hands meaningful results, accurate data, timely and concise reports with results tracked over time at a very affordable cost.
